Terms of Use for AI Tools in Beey

1. Introduction

The AI Tools: Smart Edits and Smart Translation features in Beey (editor.beey.io) use Artificial Intelligence (AI) technologies to automatically generate or transform text based on transcripts.
These tools allow users to create outputs such as chapters, summaries, social media posts, emotion analyses, entity recognition, and other text transformations, or to use a custom prompt.

These features are designed to assist and inspire users, helping to accelerate content creation and editing.
They do not replace human judgment, editorial oversight, or factual verification.

These AI Tools are optional add-on features provided through an external service and are not part of the core Beey transcription service.

2. External service provider

Beey’s AI Tools are powered by an external third-party service, for which Newton Technologies, a.s. (the operator of Beey) assumes no responsibility regarding the accuracy, reliability, or data processing methods of that service.
When using AI Tools, parts of the submitted text may be processed by external providers acting as data processors or independent controllers. The processing is carried out in compliance with applicable data-protection laws and relevant contractual safeguards.

3. Data protection and anonymization

Before using AI Tools, users are strongly advised to:

  • avoid submitting personal or sensitive data (e.g. names, addresses, phone numbers, medical information, or confidential content);
  • anonymize transcripts that contain identifiable or sensitive information;
  • assess whether the content is suitable for external processing.

Newton Technologies, a.s. has no control over how data are handled once processed by the third-party provider.
Nevertheless, Beey ensures that its partners comply with appropriate data protection and security standards, consistent with the EU General Data Protection Regulation (GDPR) and other applicable privacy laws.

The processing of data by AI Tools occurs solely on the basis of the user’s explicit request and consent by activating these features.

External providers may process data outside the EU/EEA under appropriate safeguards such as Standard Contractual Clauses (SCCs).

4. Accuracy and limitations of AI-generated content

  • AI-generated text may contain inaccuracies, omissions, or misinterpretations.
  • The AI model may misunderstand the context, distort meaning, or produce incorrect or fabricated information (“hallucinations”).
  • AI outputs may not represent factual accuracy and should always be reviewed and verified by the user.
  • AI-generated results should not be relied upon as the sole source for decision-making, publication, or legal use.

5. User responsibility

By using Beey’s AI Tools, the user acknowledges and agrees that:

  • they are fully responsible for reviewing and approving all AI-generated results before use;
  • Newton Technologies, a.s. bears no liability for any errors, damages, or losses resulting from the use of AI-generated content;
  • AI-generated results are advisory and supportive only, not authoritative or final.

To the maximum extent permitted by applicable law, Newton Technologies, a.s. disclaims any liability arising from the use or reliance on AI-generated outputs.

6. Recommended best practices

  1. Review and, if necessary, edit the generated text before using it further.
  2. Disregard or correct results that appear inaccurate or misleading.
  3. Avoid publishing or sharing AI-generated content without human verification.
  4. Remove or anonymize personal or confidential data before submitting text to AI Tools.
  5. Do not use AI-generated results for decisions that may have legal, financial, or reputational consequences without independent verification.

7. Updates and changes

Newton Technologies, a.s. may revise these terms or modify AI functionalities in response to technological, legal, or operational developments.
The most recent version of this disclaimer is always available at www.beey.io.

Continued use of AI Tools after any update constitutes acceptance of the revised terms.
